Client Portal - Reports
Reports
Section titled “Reports”The Reports view in the Client Portal is your self-service tool for extracting your financial and operational data. You can select from a library of standard reports, customize the data included, and generate files for detailed analysis.
1. Report Selection
Section titled “1. Report Selection”When you first navigate to the Reports page, you must select the type of report you wish to generate from the list of public reports available.
2. Report Configuration
Section titled “2. Report Configuration”Once a report type is selected, the page displays configuration options, organized into three main steps:
A. Filter Data
Section titled “A. Filter Data”This section defines the scope and currency of the report.
- Currency: Select the currency you want to focus on (e.g., SEK, EUR, USD).
- Service: Specify the product or service to include (e.g., Invoice service, Invoice factoring sell).
- Transaction Date: Choose a predefined date range (e.g., Current week, Last month, Last year) or specify a custom range.
B. Show Fields
Section titled “B. Show Fields”This section allows you to customize the columns of data that will be included in the final report.
- You can select specific data points (e.g., Transaction Date, Amount, Currency, Description, Supporting Document) that are relevant to your analysis.
C. Order
Section titled “C. Order”This section allows you to define the sorting order of the data within the report.
- You can select the field by which the results should be ordered (e.g., order by date, amount, etc.).
3. Generating the Report
Section titled “3. Generating the Report”After configuring the data filters, fields, and order, click the GENERATE REPORT button.
- The system will process your request and display a Result page.
- From the Result page, you can Export the generated data for further analysis outside the portal. The Export menu offers Export Excel, Export CSV and Export PDF.
A report is generated in the language the portal is set to, so a user who has switched the portal to Swedish gets Swedish column names where the report has a Swedish translation.
4. The report list
Section titled “4. The report list”The reports you can choose from are the public reports of your environment, plus any report that has been made available to your client specifically. The list can therefore differ between environments and between clients.
5. Filtering on several values
Section titled “5. Filtering on several values”A filter that accepts several values shows (comma-separated) in its box. Type the values separated by commas, for example several customer numbers, and the report returns the rows that match any of them. Spaces around the values are ignored. This works report by report: a filter without the hint takes one value only. The Client Ledger report is one that has it.
6. The Payments report
Section titled “6. The Payments report”The standard Payments report lists payments, credits and write-offs on invoices, one row per event. To list payments only, type PAYMENT in the Event Type filter. Use Payment Date, Bookkeeping Date or Created Date to choose which date the date filters apply to, and the Order section to sort on the same date.
7. Scheduling a report
Section titled “7. Scheduling a report”You can have a report generated on a timetable and e-mailed to chosen recipients.
-
Generate the report once with the filters, fields and order you want, so that you land on the Result page.
-
Click the calendar icon next to Export. The Schedule Report window opens.
-
Add one or more e-mail addresses under Email, choose a Format (Excel, CSV or PDF) and a Frequency (Daily, Weekly or Monthly). For weekly, choose a Day of the Week, and for monthly a Date. A monthly report set to a day the month does not have, such as the 31st, runs on the last day of the month.
-
Click Save.
The schedule keeps the filters, fields and order from the report you generated. Everything is listed on the Scheduled Reports page, where you can add or remove recipients with Edit, stop a schedule with Pause, restart it with Resume, or Delete it. The format, frequency and day cannot be changed once a schedule is created, so delete it and create a new one instead.
Three things catch people out:
- Date filters become a window. At each run, the report’s date filters are replaced by a window that matches the frequency: a daily report covers the previous day, a weekly report the last seven days up to the run day, and a monthly report the previous calendar month. A weekly report of invoices can therefore be empty in a week without new invoices, and it does not show everything that is open on the run day. Generate the report by hand when you need the full outstanding picture.
- Language. A scheduled report uses the language set on your client. If none is set, it uses the language of your organisation, and otherwise English. It does not follow the language of the portal user who created the schedule. Reports can be translated into Swedish, Finnish, Norwegian and Polish. Any other language gets English.
- One format per schedule. Create a second schedule for the same report if you need it in a second format.
Creating and changing schedules needs a right in the Client Portal, see Rights, roles and users and the rights catalogue.
8. Accounting files and other pages under Reports
Section titled “8. Accounting files and other pages under Reports”The Reports page also has these pages in its left menu:
| Page | What it shows |
|---|---|
| Create Report | The report builder described above |
| Scheduled Reports | The schedules you have created |
| System Reports | The reports Quiddly sends to your company by itself, such as settlement notes and activity reports. You can see who receives each one, change the recipients and pause a report. Shown only if you have the right to read them |
| Distribution Archive | The reports that have been sent to you and the ones uploaded for you, with a download for each. You can filter on report type, currency and date. Shown only if you have the right to read the archive |
Accounting files are not made here. Scheduled Bookkeeping Files and the export of accounting data are under Bookkeeping, see Client Portal, Bookkeeping view. Two rules there:
- A BgMax (Swedish clients) or KTL (Finnish clients) file is created for one booking day at a time, and for one currency. A whole period cannot be collected into a single file, so a month needs one file per day.
- Scheduled delivery is available for BgMax and KTL files only. SIE files cannot be scheduled, because they cannot be generated automatically.
For what each system report contains and what decides who receives it, see Reports and files Quiddly sends. To fetch reports from your own systems, see Fetch reports and files through the API.
