The System Debtor View
System Debtor View Overview
Section titled “System Debtor View Overview”This page serves as a detailed guide to the System Debtor View in Quiddly Operations Portal. This view manages the financial profile, risk settings, and status of a specific debtor (the ultimate payer of an invoice).
The Debtor View is structured into three main areas:
- General Details: Core identity information.
- Debtor Attributes (Expandable Sections): Detailed risk, financial limits, balance, and operational control settings.
- Tabbed Detail Sections: Specific records related to clients, invoices, and other operational data tied to this debtor.

⚙️ Debtor Actions Menu (Three-dot Menu)
Section titled “⚙️ Debtor Actions Menu (Three-dot Menu)”Located in the top-right corner, this menu allows you to execute immediate management actions related to the debtor.
| Action Name | Description |
|---|---|
| Add task | Creates a new task or follow-up action related to this system debtor. |
| Start bankruptcy process | Opens the Start bankruptcy process dialog, which pauses the debtor’s invoices and collection cases. Choose what to pause, then click Confirm. See below. |
| System debtor history | Opens the change log of the system debtor with Change date, Type, Field name, Old value, New value and Changed by. It logs changes, not creation: a value filled in for the first time, such as a new custom attribute, is not logged, but changing it afterwards is. |
Start bankruptcy process
Section titled “Start bankruptcy process”The dialog asks “Do you want to start a bankruptcy process for the debtor?” and has two checkboxes. Nothing is paused unless you tick it.
| Checkbox | What happens |
|---|---|
| Pause all invoices | Every activated invoice of the debtor is paused with no end date, so it stays paused until someone resumes it. Invoices that are part of a collection case are not paused. |
| Pause all collection cases | Every open collection case of the debtor gets the status Paused. |
Each paused invoice and case gets a system note (“Bankruptcy process initiated”) that is not shown to the client.
Financing troubleshooting
Section titled “Financing troubleshooting”Financing is checked against the system debtor, so a block can come from settings here even when the client has room.
Insurance limit. The message “No disposable insurance limit left for the invoice.” comes from the insurance limit check on the system debtor, which is separate from the rules in the rule engine, so you will not find a rule for it. It is raised when Credit Limit under Insurance limit is set and Disposable is zero or less. Two ways to stop it:
- Tick Exclude insurance limit validation when financing invoices on the system debtor.
- Leave Credit Limit empty (not set). An empty limit is not checked, but a limit of 0 is, and 0 leaves nothing disposable.
Expired ledger. Financing is blocked when the system debtor’s expired balance is above Limit expired debtor ledger under Financing. An empty limit and a limit of 0 both count as no limit: outside the rule engine the limit is not checked, and in the rule engine the criterion follows If no value. The expired balance is the Total Expired figure under Expired Balance. The error says that the maximum allowed expired ledger amount is exceeded. To get the debtor financed again, do one of these:
- The debtor pays the overdue invoices.
- Raise Limit expired debtor ledger.
- Tick Add day limit and enter a number of days under Include only invoices expired after. Then only the capital of invoices that expired more than that many days ago counts against the limit.
Wrong system debtor. The system debtor is found through the identification number on the invoice. If the number on the invoice differs from the one on the system debtor you expect, for example because the ERP adds a prefix or dashes, the invoice belongs to a different system debtor that has no limit, and financing stops with a message that there is not enough credit room on the debtor. To fix it:
- Compare the identification number on the invoice’s debtor with the identification number on the client debtor and the system debtor.
- Contact Quiddly support to link the invoice to the intended system debtor.
- Align the identification number in the ERP so new invoices carry the right number.
No collection event on an invoice. If Exclude client debtor from collection event (or Exclude client debtor from reminder event) is ticked on the system debtor, its invoices get no collection (or reminder) event. A client debtor with Override exclusion settings on system debtor ticked uses its own settings instead.
