Client fund accounts
Client fund accounts lists every client fund account in one place: the client, the product and currency, the balance, what is available for payout and when the account last moved. Use it to find accounts with a negative balance, to see which accounts have money waiting, or to check what an account’s next payout would settle.
The page only reads. Paying out, holding and releasing are done on Payout Overview.
Where to find it
Section titled “Where to find it”Go to Registry > Client fund accounts. The menu item needs the SearchClientAccounts right.
The entity picker at the top of the menu narrows the list to the clients of one entity. With All entities chosen, every client is listed.
Filters
Section titled “Filters”The chips above the table narrow the list:
| Chip | Shows |
|---|---|
| All | Every client fund account. This is the chip the page opens on |
| Negative balances | Accounts with a balance below zero |
| Positive balances | Accounts with a balance above zero |
| Pending payouts | The accounts the next payout run will touch: accounts with transactions that have not been paid out yet, and accounts the run would pay out anyway |
An account with a balance of exactly zero appears only under All and, when it has transactions waiting, Pending payouts.
Pending payouts is the same set of accounts as All on Payout Overview, so it also includes accounts with nothing to pay out. To see whether each one will be paid out, and why not, use Payout Details.
All filters narrows the list further by client (Select client(s)), by Product (Invoice service, Invoice factoring sell, Business loan) and by Currency.
Columns
Section titled “Columns”| Column | What it shows |
|---|---|
| Client, Client ID | The client the account belongs to |
| Account ID | The client fund account |
| Product, Currency | The product and currency of the account |
| Balance | The account balance |
| Disposable For Payout | What the account holds that is available to pay out |
| Last Transaction | The date of the account’s latest transaction |
The settlement behind a payout
Section titled “The settlement behind a payout”Expand a row to see what its next payout would settle, with the same breakdown the settlement note shows once the payout has been booked:
- Invoice factoring sell: Invoices, Recourse and Other, with the totals and To payout.
- Invoice service: Payments, Fees and Other, with the totals and To payout.
- Business loan: no breakdown.
An account with nothing waiting to be paid out shows empty sections. An account with more than 2,000 unsettled transactions shows no breakdown. The settlement note still lists them all once the payout is booked.
Expanding a row needs the ReadPayouts right, and the Pending payouts chip needs SearchPayouts.
Active and inactive accounts on a client
Section titled “Active and inactive accounts on a client”On a client’s page, the Bookkeeping tab lists the client’s fund accounts under Client Fund Accounts, split into an Active and an Inactive tab. An account is Active as soon as it has a Last Transaction date, that is, as soon as any transaction has ever happened on it. An account is Inactive only when it has never had a transaction. So an account that has been paid out from is always listed as active, and an inactive account has never paid out.
One balance per currency
Section titled “One balance per currency”A client has a separate fund account for each currency and product, and payouts are generated per currency. A negative balance in one currency is therefore not netted against a positive balance in another, for example SEK against EUR, when payouts are made. What the platform does balance automatically is accounts in the same currency and service provider, see Handling overdrawn client accounts.
The one check across currencies is the client setting Require Positive Balance for Payouts: when it is on, the client’s fund accounts in all currencies are added up in the system currency, and no payout is made unless the total is positive. The payout itself is still made per currency, see Review payouts before you generate.
To move money between a client’s accounts yourself, for example to cover a negative SEK account with a positive EUR account, use New transfer on the client’s Bookkeeping tab. The dialog is titled Transfer amount and asks for From Account and To Account (two of the client’s own fund or pledge accounts), Transaction Date, Bookkeeping Date, Amount and Description. When the two accounts are in different currencies, the amount is converted between them. Transferring needs a right, see Rights, roles and users and the rights catalogue.
An overdrawn client account
Section titled “An overdrawn client account”The fund account of a client with the Invoice factoring sell product is overdrawn when its balance is negative, typically after an invoice has been recoursed to the client. Then:
- The client is charged an overdrawn fee and overdrawn interest automatically, if it has a price for them.
- An alert is created on the dashboard, and a settlement note is sent to the client.
- A client account cannot be put in collection. Collection cases belong to a debtor’s invoice, never to a client.
The settings and the follow-up are described in Handling overdrawn client accounts.
