The invoice list

Registry > Invoices lists every invoice in the system. It is where you find an invoice, see how it stands, and run an action on one or many invoices at once. Click a row to open the invoice, see The Invoice View.

The list opens on the status Open, sorted by expiry date, oldest first. The status buttons above the table switch between All, Created, Pending financing, Pending, Activating, Open, Paused, Disputed, Closed and Stopped.

The Columns button above the table sets which columns you see and in what order. The choice is saved for your user.

  1. Press Columns.

  2. Tick the columns you want to see and drag them into the order you want. The counter shows how many columns are selected.

  3. Press Save.

Some columns that are often asked for are not shown by default or are easy to miss:

Column What it shows
Last transactions date The date of the latest financial event on the invoice. For an invoice that was closed by a payment, this is the date it was paid. It is hidden by default, so add it with Columns if you need the paid date of closed invoices.
Closed date The date the invoice was closed. Hidden by default.
Paid out The payout date, as a link to the payout batch. Shown by default.
Client Reports A menu to download the client reports that include the invoice. Shown by default.
Notes A note icon on invoices that have notes. Click it to open the Invoice notes panel, where New note creates a note on that invoice. Shown by default.

All filters opens the filter panel. The number of active filters is shown next to it.

Open Invoice id / no in the filter panel. It has the fields Search by invoice id and Search by invoice number.

  1. Paste the numbers into the field, separated by spaces.

  2. Press Enter, or the plus button in the field. Each number becomes a chip. Remove a number with the cross on its chip.

Tick the checkbox on each row to select the invoices. The actions appear as icons above the table, and the tooltip of each icon names the action. Which icons you see depends on the selection, for example:

  • Add note, Pause, Dispute invoice and Edit expiry date are always offered.
  • Resume appears when all selected invoices are paused or disputed.
  • Write off, Register Direct Payment and Link Invoices need the selected invoices to be in the same currency. Link Invoices also needs them to be of the same type, and Register Direct Payment needs them to be open.
  • Finance appears when all selected invoices are service invoices.
  • Activate appears in the status Created, and the financing decisions in the status Pending financing.

The selection stays marked after you have run an action. This is by design, because you often run several actions on the same invoices. Clear the checkboxes yourself when you are done. The exception is Activate: activated invoices are removed from the selection, since the actions you could run next no longer fit them.

For what the individual actions do, see Invoice Actions, and for linking credit invoices to debit invoices, see Work with credit invoices.
