Client templates

A client template is a starting point for new clients. You set up prices, limits, the engine rule and transfer texts once on the template, and every client you create from it starts with a copy. Use templates when most of your clients share the same commercial terms.

A template is applied once, when the client is created. Changing the template later does not change the clients that already exist, except for the engine rule, which you can push to them (see below).

Go to Global Settings > Client Templates. The menu item and the tabs need a right to read client templates, and creating a template needs a right of its own. See Rights, roles and users and the rights catalogue.

The page shows one tile per template, and an Add new template tile if you may create one. A template opens on Overview. Its other tabs are Price list, Credit limits, Engine rules, Invoice template and Settings.

  1. Click Add new template, enter a Name and a Description, and press Create.

  2. On Overview, set Active template to Yes. Only active templates are offered when you create a client. Add new image puts a picture on the template’s tile; the picture is not copied to clients.

  3. Fill in the tabs you need:

    Tab What you set
Price list The prices, per currency. It works like the client’s own price list, including recurring fees and the financing fee price brackets
Credit limits The global financing limit and, per product and currency, the limits and the finance percentage
Engine rules The engine rule the clients start with. See Configure The Rule Engine: Decisions tree
Invoice template The invoice transfer texts, per invoice type, language, product and service provider
Settings Which articles base interest applies to

On the client registration page, choose the template under Select client template. See Onboard Client. Quiddly then copies the template to the client.

Taken from the template Copied to the client
Prices The price lists with their prices, recurring fee frequency and financing fee price brackets
Credit limits The global limits and the limits and finance percentages per product and currency
Financing rules The client’s financing rules, for example whether factoring is allowed
Engine rule A copy of the template’s engine rule
Transfer texts The invoice transfer texts
Interest settings Which articles base interest applies to
Client settings Settings that have been preset on the template

These are not taken from the template and have to be set on each client:

  • Invoice profiles and collection profiles.
  • Document templates, including the Invoice Remark.
  • Bookkeeping settings and the chart of accounts, and the ERP connection.
  • Distribution settings.
  • Billing settings, such as the billing channel.
  • Payout accounts and bank accounts.

On the client, open the General section and change Client Template. Choose another template, or No template to remove the client from its template, and save. It needs the right to update template clients.

Changing the template only changes which template the client is connected to. The client keeps its prices, limits and engine rule as they are. To give it the engine rule of the new template, use Update clients on that template.

On Overview, Connected clients shows how many clients are connected to the template. When some of them run an older version of the template’s engine rule, Update clients appears.

  1. Click Update clients. The window lists the connected clients with Client ID, Client Name, Engine rule follows, Version and Status.

  2. Clients that follow an engine rule profile are left out. To include them, tick Also update the N clients that follow an engine rule profile (N is the number of such clients). Their engine rule from the profile is then replaced.

  3. Press Confirm. The update runs in the background.

Each client whose engine rule changes keeps its previous one. Restore previous version on the client’s Engine rules tab brings it back.
