Review payouts before you generate
The Payout Overview tab shows every client fund account the next payout run will touch: what it will pay out, where the money goes, and, when it will not be paid, why. Use it before you press Generate, so a payout that is wrong, blocked or disputed is caught before the file reaches the bank rather than after.
Looking at the tab changes nothing. A payout only changes when you choose one of the actions described below.
Where to find it
Section titled “Where to find it”Go to Daily Routines > Payouts and open the Payout Overview tab. It sits next to Generate, Pending and Exported.
The Generate tab also carries two cards that lead here: Will be paid out, with the amount per currency and the number of accounts, and Will not go through, with the number of accounts held up. Clicking either opens Payout Overview on the matching chip.
Reading the page
Section titled “Reading the page”Above the table, the page says how many accounts with money to pay out will not go through, and what the next run pays out in total per currency. When accounts are on hold, it says how many.
Status filters
Section titled “Status filters”The chips above the table narrow the list. Each chip shows how many accounts it holds.
| Chip | Shows |
|---|---|
| Will be paid out | Accounts the next run will pay out. This is the chip the page opens on, unless you come from the Will not go through card on Generate |
| Will not go through | Accounts with money to pay out that the run will skip, for one or more of the reasons below |
| A reason, for example No payout account for the currency | Only the accounts held up for that reason. Each reason gets a chip only while at least one account has it, so the chips you see change from day to day |
| On hold | Accounts whose payouts are on hold until someone releases them |
| All | Every account the run will touch, including accounts with activity but nothing to pay out |
An account with nothing to pay out has transactions that have not been paid out yet, but a balance that leaves nothing to send. It shows no status and appears only under All.
All filters narrows the list further by client (Select client(s)), by Product (Invoice service, Invoice factoring sell, Business loan) and by Currency.
Columns
Section titled “Columns”| Column | What it shows |
|---|---|
| Client, Client ID | The client. The id opens the client’s page |
| Account ID | The client fund account |
| Product, Currency | The product and currency of the account |
| Balance | The account balance |
| Disposable For Payout | What the run will pay out for this account |
| Last Transaction | The date of the account’s latest transaction |
| Pays out to | The channel and number the money is sent to, for example a Bankgiro number |
| Status | Will be paid out, On hold, or the reasons the account will not go through |
The settlement breakdown
Section titled “The settlement breakdown”Expand a row to see what the payout settles, with the same breakdown the settlement note shows once the payout has been booked:
- Invoice factoring sell: Invoices, Recourse and Other, with the totals and To payout.
- Invoice service: Payments, Fees and Other, with the totals and To payout.
- Business loan: no breakdown.
An account with more than 2,000 unsettled transactions shows no breakdown. The settlement note still lists them all once the payout is booked.
Why an account will not go through
Section titled “Why an account will not go through”Each reason on a row links to where it is corrected, when there is one place to go.
| Reason | What it means | Where to fix it |
|---|---|---|
| No payout account for the currency | The client has no enabled payout account in the account’s currency | The client’s page, Payout Accounts |
| Payout account blocked | The client’s payout account in that currency is blocked | The client’s page, Payout Accounts |
| Not set for automatic payout | The client’s payout account in that currency is not flagged for automatic payout. The system sets the flag when the account is created and whenever its details change, so this is rare | Not in the Operations Portal: contact support |
| Client balance not positive | The client has Require Positive Balance for Payouts set to YES, and its fund accounts together are not positive. The accounts in all currencies are added up in the system currency for this check, business loans are left out, and the payout itself is still made per currency | The client account |
| Nothing left after balancing out | The client’s payouts are adjusted against its overdrawn fund accounts in the same currency and service provider, and nothing is left after that. This is done only when the client setting for automatic payout adjustment is on, which it is for new clients. See Handling overdrawn client accounts | The client account |
| No bank account to pay out from | No bank account is set up to send payouts from for this currency, product and service provider | The client’s page, or the bank account setup |
| More than one bank account to pay out from | More than one bank account answers as the one to send from, so the run cannot choose | No link: the duplicate can be in the client’s bank accounts, the system bank accounts or the default payout accounts |
| Payout in progress | A payout of the account is already running | Nothing to fix: it clears itself when that payout finishes |
An account can show several reasons at once. It is paid out only when all of them are cleared.
Acting on accounts
Section titled “Acting on accounts”Tick the rows you want to act on. The selection covers the page you are on, and is cleared when you move to another page. The actions appear at the bottom of the screen.
| Action | What it does |
|---|---|
| Generate | Runs the payout for every account that will be paid out, the same as the Generate tab, and takes you there to follow the run |
| Pay out only N | Pays out only the selected accounts that will be paid out. Shown when at least one of them is selected |
| Put N on hold | Keeps the selected accounts out of every run until they are released |
| Release N | Releases the selected accounts that are on hold |
Paying out only some accounts
Section titled “Paying out only some accounts”-
Tick the accounts to pay out and choose Pay out only N.
-
Under How to pay them out, choose:
- Normal payout: the payouts are generated now, then authorized and booked like any run. No payment returns go out in this run, and every other account is left for the next one.
- Express payout: each account is paid out at once, one file per account, skipping Authorize and Book. Untick Charge the express payout fee if the client should not be charged for it.
-
Choose Confirm. For an express payout, the result says how many accounts were paid out and lists any that failed, with the reason.
Putting payouts on hold
Section titled “Putting payouts on hold”Put an account on hold when its payouts must stop until someone says otherwise, for example when you are in a dispute with the client about that account. A hold is per client account, so the client’s other accounts are paid out as usual.
-
Tick the accounts and choose Put N on hold. Any account can be put on hold, including one that will not go through for another reason.
-
Give a Reason (optional). It is shown on the row, so say why the payouts are stopped.
-
Choose Confirm.
An account on hold shows On hold with the reason, who put it on hold and when. Every run leaves it out: no payout and no blocked payout is created, and its transactions stay unsettled, so the first run after the release pays them out.
To release, open the On hold chip, tick the accounts, choose Release N and confirm.
Every hold and every release is recorded in Client history, opened from the history button on the client’s page, under Payout hold.
An express payout of an account on hold is refused too, also when it is started from the client’s page, with a message saying the account is on hold. Release the hold first.
A preview, not a reservation
Section titled “A preview, not a reservation”The page shows the state at the moment you open it. A transaction that arrives between reading the page and pressing Generate is paid out by the run even though you never saw it, and the run decides again, account by account, when it starts. Reload the page just before you generate.
What a run includes
Section titled “What a run includes”- Partial payments on Invoice service. Every payment a debtor makes is booked on the client’s fund account for the product when the payment is matched, a partial payment included. The next payout run pays out what is available on the account, so a payout does not wait for the invoice to be fully paid.
- Payment returns. A payment return (a refund of an unplaced payment, created with the Return action on an unplaced payment) is included in a run only when its Requested payout date has been reached. A return dated later stays pending until that date, so it will not show up in a run before then.
Reading the generated payouts
Section titled “Reading the generated payouts”After Generate, choose Review on the Generate payouts card on the Generate tab to see the payouts that were created, before you authorize them.
| Column | What it shows |
|---|---|
| Type | Client Funds for a payout of a client’s fund account, Payment Return for the refund of an unplaced payment |
| Client | For client funds, the client being paid. For a payment return, the client the bank account that received the payment is dedicated to, which is the client the unplaced payment was tagged with. It can be empty when the payment arrived on a shared bank account |
| From account | The bank account the payout is sent from |
| To account | Who is actually paid: the channel and number of the client’s payout account, or, for a payment return, the return account entered on the Return |
| Original amount, Balanced amount, Payout amount | The amount before balancing, the overdrawn amounts of the client’s other accounts in the same currency that were balanced out against it (each linked to its client account), and the amount that is paid |
| Overdrawn other currencies | See below |
Overdrawn other currencies
Section titled “Overdrawn other currencies”The column is the net balance of all the client’s other-currency accounts for Invoice service and Invoice factoring sell, positive and negative, in the system currency, less payouts in other currencies that have been created and not yet exported. It only shows a value when that net is negative, and the value links to the client’s Bookkeeping tab.
Because positive balances are counted too, a payout account that is blocked or skipped changes the result: with the EUR payout account blocked, no EUR payout is created, the positive EUR balance stays, and the net can be zero or positive so the column is empty even though another currency is overdrawn. The payout amounts are not affected, only this information column.
The payout file
Section titled “The payout file”Payout files from different environments are built by the same code and have the same format. A few elements depend on the sending account and on the payment:
- The initiating-party identification block is written only when the entity has a bank customer id or a bank division id registered. It is not visible in the Operations Portal, so contact Quiddly support to have it set.
- The Purpose element is written only for domestic payments, where the sender’s and the recipient’s IBAN country is the same.
- For payment returns sent from a bank account with BIC DABASESX, the file includes a postal address block (street, post code, town, country). It is taken from the address fields Address, Address 2, Zip, City and Country on the Return of the unplaced payment. It is not mandatory in Quiddly, only that bank asks for it.
Both variants of a file are accepted by the banks. See Setup Bank Accounts for how the sending account is chosen.
Rights
Section titled “Rights”| To | You need |
|---|---|
| See the tab and the reasons | ReadPayouts and SearchPayouts |
| Generate, or pay out only some accounts in a normal run | GeneratePayoutBatches |
| Pay out only some accounts by express | CreatePayoutForClientAccounts |

Client fund accounts
Section titled “Client fund accounts”Registry > Client fund accounts lists every client fund account, with or without a payout pending. Its Pending payouts chip shows the same accounts as All on Payout Overview, which includes accounts with nothing to pay out. Expanding a row shows the same settlement breakdown. See Client fund accounts.
